Job Overview:

Saronic is seeking a highly organized, proactive, and adaptable Workplace Specialist to manage the day-to-day operations of our Franklin office. This role will be responsible for ensuring a functional, welcoming, and productive environment for employees and visitors. The Workplace Specialist will support vendor management, facilities request, serving as the first point of contact for workplace requests and operational support. Responsibilities:

- What You’ll Do

  • Manage day-to-day office operations, including supply inventory, mail and package distribution, kitchen/F&B restocking, equipment upkeep, and general administrative coordination.

  • Monitor workplace email, Slack channels, and the ticketing system, responding promptly to employee requests and prioritizing competing needs effectively.

  • Maintain office readiness, including cleanliness, organization, and overall presentation.

  • Stay connected to HQ workplace standards and communicate regularly with Workplace teammates across all U.S. sites to ensure consistency and alignment.

  • Track and manage small office projects and special requests.

  • Support employees across departments to keep daily operations running smoothly.

  • Coordinate and oversee facilities needs, including minor repairs, preventative upkeep, and vendor engagement for routine services.

  • Coordinate with external vendors (food service, office supplies, maintenance, janitorial) in partnership with the Workplace Manager to ensure timely, accurate deliveries.

  • Maintain strong vendor relationships and monitor service levels.

  • Monitor, track, and escalate operational and facilities-related issues to the appropriate stakeholders, ensuring timely resolution.

  • Track recurring issues and provide feedback to the Workplace and Facilities teams to improve office operations.

  • Ensure Franklin offices remain safe, functional, well-maintained, and aligned with company workplace standards.

  • Assist with planning and executing team meetings, visiting departments onsite and office moves—including room setup, catering, and space readiness.

  • Support onboarding and off-boarding by ensuring workspace readiness and handling basic setup and orientation logistics.

  • Contribute to culture-building initiatives that foster a positive, connected workplace.

Qualifications:

- What You’ll Bring

  • 3–5 years of experience in workplace operations, office management, or facilities coordination.

  • Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.

  • Excellent communication and interpersonal skills.

  • Comfortable working independently in a fast-paced startup environment.

  • Proficiency with Microsoft Office Suite, Slack, and workplace management tools (e.g., Monday.com, Confluence).

  • Experience in event coordination, vendor management, and/or administrative support.

  • Ability to adapt to changing needs and handle tasks on short notice.

  • Availability to work before/after standard hours and occasional weekends as needed.

Physical Demands:

  • Prolonged periods of sitting at a desk and working on a computer

  • Occasional standing and walking within the office

  • Manual dexterity to operate a computer keyboard, mouse, and other office equipment

  • Visual acuity to read screens, documents, and reports

  • Occasional reaching, bending, or stooping to access file drawers, cabinets, or office supplies

  • Lifting and carrying items up to 20 pounds occasionally (e.g., office supplies, packages)
