SAIC is seeking a Workflow Administrator with an active TS clearance to provide direct support to the OUSW (R&E) Executive Correspondence Office, ensuring the timely, accurate, and compliant routing of executive-level correspondence, decision packages, and formal staff actions. This role is critical in maintaining the integrity of the formal coordination and approval process within a fast-paced, high-visibility environment. The ideal candidate is detail-oriented, proactive, and a fast learner who can manage multiple priorities while adhering to established policies and timelines.

This position is 100% onsite located in Arlington, VA at the Pentagon.

Key Responsibilities:

  • Manage and track executive correspondence packages throughout the review and approval lifecycle, ensuring adherence to OUSW (R&E) and DoW correspondence standards.
  • Coordinate routing of decision memorandums, taskers, reports, and formal packages using approved workflow systems (e.g., CATMS).
  • Ensure all submissions meet format, policy, and quality control standards before advancing to leadership for review or signature.
  • Review content for completeness, accuracy, and appropriate clearances prior to forwarding to the Executive Secretariat or higher-level offices.
  • Maintain logs, databases, and dashboards to track correspondence progress, due dates, and performance metrics.
  • Serve as a primary point of contact between the Executive Correspondence Office, subordinate directorates, and external stakeholders to facilitate timely package coordination.
  • Identify and recommend process improvements to streamline routing, reduce bottlenecks, and enhance transparency.
  • Ensure accurate archiving and recordkeeping of all approved and historical correspondence in accordance with OUSW (R&E) records management policies.
  • Provide general office support, assist in scheduling coordination, meeting preparation, and communication tracking as required.
  • Ability to edit and format administrative correspondence, reference materials, reports and briefings in accordance with Department of War DoW 5110.4-M Manual for Written Material.
  • Process a myriad of actions both classified/unclassified taskers to include editing incoming/outgoing executive level correspondence; customer service phone calls; correspondence inquiries requests, and other special projects dispatched by USW(R&E).

Qualifications

Required Qualifications:

  • Top Secret clearance with the ability to obtain a TS/SCI required to maintain employment.
  • US citizenship.
  • Bachelor ’ s degree with at least ten (10) years of relevant experience; Or Masters and eight (8) or more years of experience. Additional years of experience may be accepted in lieu of degree.
  • Familiarity with DoD correspondence standards, staffing processes, and executive-level communication practices.
  • Strong organizational and time management skills; ability to multitask in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, SharePoint, and correspondence tracking systems (e.g., CATMS, or similar).
