Summary

Job Description

We are seeking a motivated and detail-oriented Project Coordinator to join our Construction Team in Alice Springs. This role is responsible for planning, scheduling, documenting, and coordinating activities for both Site and In-Town projects, including subcontractor management.

The Project Coordinator supports Project Managers, Proposals, Projects, and the broader Construction department. The role requires daily interaction with internal teams, customers, contractors, and external stakeholders, and demands a professional and collaborative approach at all times.

Key Responsibilities

  • Provide administrative and clerical support to the Proposals, Projects, and Construction Team
  • Administer weekly staff meetings and prepare the Weekly Activity Report
  • Create Work Orders in SAP for material procurement and subcontracted services
  • Maintain the staff contact roster and act as a key point of contact for the branch
  • Organise site access permits for visitors and training attendees
  • Provide training and support on office administration processes
  • Coordinate vehicle maintenance with Facilities Maintenance
  • Arrange travel logistics for site visitors, including transport and accommodation
  • Promote and maintain health and safety practices across all work environments
  • Perform other reasonable duties as required

Skills & Experience

Essential:

  • Minimum 2 years’ experience in a general administrative role
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
  • Experience with business enterprise software (e.g., SAP, Oracle, MYOB, ERP)
  • Strong interpersonal, communication, and teamwork skills
  • Ability to work independently and collaboratively
  • Uphold the Code of Conduct and adhere to Program and Company Policies
  • Current Driver’s Licence

Desirable:

  • Minimum 2 years’ experience using SAP
  • CPR, First Aid, White Card, Confined Space, Working at Heights, Forklift Licence, Elevated Work Platform

Security Clearance

This position requires the successful candidate to obtain and maintain a Top-Secret Positive Vetting (TSPV) Department of Defence Security Clearance (Australian) or TS/SCI (U.S.) clearance with Polygraph. Medical clearance is also required.

Work Environment & Compliance

  • Desk-based, sedentary role with occasional lifting (up to 5kg)
  • Must be at least 18 years of age and fluent in English
  • Adherence to all site Environmental, Health, and Safety (EHS) and Quality requirements is mandatory
  • Employees are expected to follow all operational, safety, quality, and environmental procedures and policies
