Job Description

Job Summary: We are seeking a strategic and detail-oriented Procurement Agent to manage the end-to-end procurement process for enterprise software licenses, SaaS subscriptions, IT hardware, and related technology services. This role ensures that Epirus acquires the best value in technology spend while maintaining compliance, optimizing supplier performance, and supporting internal stakeholders across IT, security, engineering, and operations.       

 

Responsibilities: 

Procurement Execution 

  • Work with InfoSec, Product Security, IT, contracts, finance, accounts payable, and supply chain to drive excellence with software and IT procurement execution and management. 
  • Source, negotiate, and purchase software licenses, SaaS subscriptions, and IT hardware including servers, laptops, peripherals, and network equipment. 
  • Coordinate renewals, notify contracts to terminate contracts, and optimize license usage. 
  • Create and manage purchase orders and procurement documentation with accuracy and speed. 

Vendor and Contract Management 

  • Build and maintain relationships with software publishers, OEMs, VARs, and IT service providers. 
  • Evaluate and support contracts in negotiating Master Service Agreements (MSAs), End User License Agreements (EULAs), and SaaS contracts in collaboration with contracts, legal and compliance teams. 
  • Track and report contract milestones in support of the Contract team requirements, SLAs, and renewal dates to ensure timely action. 

Cross-Functional Collaboration 

  • Partner with IT, InfoSec, Contracts, and Finance teams to assess procurement needs, technical requirements, risk exposure, and budget alignment. 
  • Participate in IT project planning to ensure timely procurement and deployment of tech assets. 
  • Responsible for resolving invoicing discrepancies with Accounts Payable 

Compliance and Optimization 

  • Maintain compliance with internal procurement policies and licensing agreements. 
  • Monitor software utilization to identify cost-saving opportunities and eliminate shelfware. 
  • Support IT asset management through accurate record keeping and lifecycle tracking. 

Basic Qualifications:

  • Bachelor's degree in Business, Supply Chain, Information Technology, or related field (or equivalent experience). 
  • 5+ years of procurement experience with a focus on software, SaaS, and IT hardware; experience in enterprise environments preferred. 
  • Strong negotiation and vendor management capabilities. 
  • Familiarity with contract language and software licensing models (e.g., Microsoft, Adobe, AWS, Cisco, Salesforce, etc.). 
  • Proficiency in ERP systems (e.g., Oracle, SAP, NetSuite) and procurement platforms. 
  • Excellent analytical, organizational, and communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.

Preferred Skills and Experience:

  • Experience in a high-growth, engineering or R&D-driven environment, particularly in defense, aerospace, or dual-use technology companies  
  • Familiarity with U.S. government and defense procurement compliance requirements, including: ITAR, EAR, DFARS, FAR, RIGHTS IN TECHNICAL DATA, COMMERICALITY, CMMC, and NIST 800-171 controls as they relate to software and hardware sourcing. 
  • Understanding of controlled items, export classification, and vendor screening for compliance. 
  • Proven experience procuring IT equipment and software for classified or secure programs, including managing hardware builds for secure labs, air-gapped environments, or accredited networks (e.g., SIPR/NIPR). 
  • Comfort working with engineering, Info security, and DevOps teams to evaluate technical requirements, network architecture dependencies, and system compatibility. 
  • Experience managing Tier 1 vendor relationships (e.g., Dell, Cisco, Microsoft, AWS, Google Cloud, GitHub Enterprise) and negotiating long-term agreements or strategic partnerships. 
  • Hands-on experience implementing ITAM/CMDB practices across distributed teams with automation tools (e.g., ServiceNow, JAMF, Tanium, Intune, or similar). 
  • Ability to interpret and negotiate complex software licensing models, including per-core, per-user, usage-based, floating licenses, and hybrid cloud/on-prem enterprise agreements. 
  • Track record supporting procurement for secure manufacturing, real-time simulation labs, AI/ML infrastructure, or robotics stacks is a strong plus.

As required by the Equal Pay Transparency Act, Epirus provides a reasonable range of minimum compensation for roles that may be hired. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, and specific office location. 
For the state of California only, the range of starting pay for this role is:
$97,100—$115,100 USD
