Job Description

Position Responsibilities:

  • Performs and manages air transportation activities.
  • Plans, schedules and processes eligible air cargo, passengers, and mail.
  • Prepares and maintains air movement records and reports.
  • Coordinates with New York Air National Guard (NYANG) personnel, Fixed Wing staff, Passenger Services Representatives, and Airfield Shift Supervisor for cargo/passenger movements.
  • Interfaces with US Air Force (USAF) Joint Inspectors, Air Transportation Specialist II, and Christchurch-based New Zealand Defense Force (NZDF) load teams for the coordination of load planning, aircraft loading/unloading and documentation.
  • Verifies eligibility of cargo and mail offered for airlift.
  • Ensures all cargo documentation, packaging, labeling and marking requirements have been met.
  • Provides information on schedules, routes, air movement requirements, baggage limitations, and local facilities for passengers.
  • Follows necessary safety and security precautions for handling and storing dangerous materials, special cargo, mail, and passenger baggage.
  • Ensures proper loading and compatibility of hazardous material according to military regulations.
  • Responsible for accurately calculating the weight and balance of cargo and passenger flights utilizing Integrated Computerized Deployment System software (ICODES) and providing proper documentation to flight crews. This essential duty has zero room for error as it affects flight safety.
  • Prepares up to 14 load plans per shift and sends completed flight packets to the airfield prior to scheduled load time.
  • Completes hazardous cargo notifications for aircrews and secures and documents hazardous cargo passenger deviations and waivers, as required.
  • Works with little supervision and is required to act in a supervisory role, tasking cargo personnel with priorities for pallet building.
  • Demonstrates impeccable and professional communication skills working with various departments and agencies, including the USAF, NYANG, Fixed Wing Coordinators, on-site National Science Foundation (NSF) representatives, Kenn Borek Air (KBA), USAP Cargo, and Christchurch cargo yard personnel.
  • Manages all data entry into MAXIMO regarding pallet building, mission reports, and receipt and delivery of inbound cargo.
  • Prioritizes the movement of cargo to the airfield and destination using published daily Flight Schedule, ensuring all cargo is staged for on-time loading.
  • Provides administrative support for ATO Manager and MCC Supervisor, as needed.
  • Coordinates daily with Fixed Wing Coordinator and/or Cargo Coordinator(s) to plan on-continent flights
  • Collaborates with USAP Cargo staff, Fixed Wing Coordinator, USAF Joint Inspector and NYANG personnel to overcome any transportation, cargo or hazardous material problems.
  • Assumes supervisory responsibility in the absence of the ATO Shift Supervisor.
  • Maintains a safe workplace and ensuring that safety is the highest priority in the workplace.
  • Performs other duties as required.

Required Education, Experience, Certificates and Licenses:

  • High School diploma or GED
  • A minimum of three years’ experience in administrative support.
  • Airlift Mobility Command (AMC) Load Planner Certification must be attained prior to deployment; training is provided if current certification is not already held.

Expected Skills and Competencies:

  • Proficient with Microsoft Office (Excel, Word, Outlook).
  • Ability to work effectively in a team environment.

Preferred:

  • One year experience in air cargo operations.
  • Knowledge of aircraft load planning and regulations governing transportation of hazardous materials; military aircraft knowledge is desired.
  • Familiarity with automated data processing systems such as MAXIMO and ICODES.

Physical and/or Other Requirements :

  • Willingness and ability to deploy to Antarctica for extended periods
  • Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica
  • Successful completion of drug screening and background check required by employer
  • Successful completion of Federal Background Check required by the NSF
  • Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.
  • Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.
  • Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safety objectives.
  • Valid Driver’s License issued in the United States
  • Must be able to obtain and maintain facility credentials/authorization. Note: US Citizenship is required for facility credentials/authorization at this work location.
