Deputy Chief of Staff

Washington, District of Columbia, United States
Full Time On-site

Summary

Job Description

Role Overview:

The Chief of Staff Associate works directly for and reports to the Chief of Staff, operating within the Office of the CEO. This is a high-tempo, high-trust role for a disciplined operator who can take direction, execute to a final standard, and maintain the systems that keep a fast-moving executive function running without constant supervision. The person in this role will carry delegated authority on defined matters and will be expected to exercise sound judgment, protect sensitive information, and produce work that reflects the standards of the office.

This is not an administrative role. It is an operational and communications role for someone who wants to be close to consequential decisions and is ready to work at the pace the mission demands.

Responsibilities:

  • Operating Rhythm: Own the mechanical infrastructure of the CoS function. Prepare agendas, distribute materials in advance, track action items to closure, and ensure no commitment slips because it lacked an owner.
  • Executive Communications: Draft investor correspondence, internal memos, stakeholder briefings, and leadership talking points to executive-ready standard. The CoS edits and approves. You are not producing starting points; you are producing near-final work. Writing must be clear, structured, and free of filler.
  • Stakeholder and Project Tracking: Maintain a living picture of active engagements, open deliverables, and priority threads across business development, government relations, and leadership operations. Flag risk and slippage proactively. Build and own the systems, not just populate them on request.
  • Cross-Functional Coordination: Represent the CoS and the Office of the CEO in routine coordination with engineering, BD, GR, and operations teams. Move work forward without requiring CoS involvement on every touch.

This is a full-time, on-site position.

Minimum Requirements:

  • 5+ years of experience in a high-tempo operational, communications, or strategy role. Defense, national security, government, or fast-scaling technology company experience strongly preferred.
  • Demonstrated executive-level writing ability. Writing samples required.
  • Proven ability to build and maintain operational tracking systems in a complex, fast-moving environment.
  • Strong judgment. Knows what to decide, what to escalate, and what to protect. Operates with discretion as a default.
  • Bachelor's degree required. Advanced degree or relevant professional experience a plus.
  • Must be located in the Washington, DC metro area or able to relocate prior to start. This is a full-time, on-site position.
  • Must be eligible to obtain a US security clearance. Active clearance not required.

Why CHAOS?
