Overview
An Administrative Technician provides administrative support to Managers, Foremen, Supervisors, represented employees and Union officials. Must be able to maintain manual and electronic files, perform general office support functions, answer phones, take messages, distribute mail, input data electronically, fax/photocopy and perform records retention assignments. Must be capable of working in a fast-paced environment with distractions, have the ability to multi-task and possess good people skills. Our clinic currently processes a general average of 80-120 +/- patients per day. Visits to the clinic are primarily on a walk-in basis with the Administrative Technician needing to possess strong attention to detail and critical thinking skills. The ideal candidate will be flexible, efficient and professional. Current schedule for this position is Monday-Friday 8:30 AM-5:00 PM (subject to change based on departmental need and seniority). Operating under the BIW Business Operating System (BOS), the AdministrativeTechnician ensures compliance with safety, quality, and performance standards while coordinating with other key stakeholders to meet overall milestones. This position is within the Occupational Health team.
Key Responsibilities
Safety Leadership:
- Compile, process, and maintain medical records of patients in a manner consistent with medical, administrative, ethical, legal and regulatory requirements of the healthcare system.
Project Execution:
- Checking in employees: follow-up appointments, return-to-work, occupational, non-occupational, physical/massage therapy, external care, surveillance testing.
- Checking out employees: ensuring proper discharge including entering limits per M1, follow-up with providers, delivering instructions for return-to-work (occupational vs. non-occupational) issue and manage paid/unpaid pass out process.
Training and Development:
- Understand OSHA recordability, compliance, documentation and how to explain OSHA vs. Workers Comp including paid vs. unpaid pass out policies.
- Medical documentation retention - follow regulations for all records.
Team Collaboration and Communication:
- Provide support of all clinical administrative functions for medical personnel.
Continuous Improvement:
- Cross train to additional 87AT functions within the department such as new hire scheduling and surveillance program management.
- Perform proper filing order of medical documents within charts, submitting IIR (injury investigation reports) for work-related injury with careful attention to privacy cases and submission to Workers Comp within appropriate deadline window.
Responsibilities
- High School diploma or GED required.
- Medical terminology required.
- Previous medical office experience required.
- Ability to multitask in a high pace environment.
- Ability to communicate effectively in person/email/phone.
- HIPPA Compliant.
Qualifications
- 2+ years Medical Office Experience required.
- Workers Comp/OSHA regulation experience preferred.
- Demonstrated proficiency in Microsoft Excel/Outlook.
- Excellent organizational skills.
- Attentional to detail in documentation.
