Overview
Job Description:
Seeking a qualified applicant to provide daily administrativesupport to our structural fabricationmanufacturing center.The selected applicant will provide direct support to the D781 Site Manager of the Rhoads Focus Factory location. The administrative assistant will provide administrative support to the onsite operations team at the vendor site.
- Qualified applicants must possess a high degree of professionalism, be able to maintain confidentiality with all business & personnel matters and capable of prioritizing and multi-tasking in a fast-paced environment
- Applicant must be able to support time-critical assignments and competent to inter-face with all levels of management throughout the facility
Responsibilities include but are not limited to the following:
- Maintaining and updating department key metrics
- Maintaining records on specific qualifications and requirements of the personnel within the department
- Develop, maintain and update various reports as needed
- Work with program office to process visit requests and badge requests
- Generatedepartment memos
- Establish meeting minutes
- Develop business presentations
- Establish weekly agendas for supervisors to ensure they understand their individual performance
- Monitor and maintain overhead account expenditures
- Perform overhead purchases of office equipment (Printers, ATAs, etc) and supplies (Staples, Fed Ex, etc.) with the managers approval
- Assist with generating and submitting Concur travel itineraries and expense reports
- Other duties as required and assigned by the Manager
- May require travel to other Focus Factory sites, Groton, CT or QP, RI as needed
- Assist with submitting Extended Work Assignments
This position is located on-site at the Rhoads Focus Factory facility in Philadelphia, PA.
Responsibilities
Skills:
- Good organizational, presentation and communication skills
- Applicant must be willing to work in a collaborative and team environment
- Possess strong communication and interpersonal skills
- Strong attention to detail and problem resolution skills
- Strong typing/data entry skills needed and satisfactory demonstration of keyboarding ability
Qualifications
Required:
- 2+ years of Administrative Assistant experience in an office setting
- High School Diploma or Equivalent
- Proficient in computer applications such as MS Office suite to include MS Outlook, Access, Excel, Project, Visio, TEAMS, and more
- Must be available to work extended hours and weekend as business needs dictate
- Must be available to travel to other Focus Factories and other business locations as business needs arise
Preferred:
- College degree
- 5+ years of Administrative Assistant experience
- Proficient with use of the EB Business Systems, including Power BI
