Major duties
Serves as an Administrative Support Assistant at DLA Distribution Yokosuka (DDYJ) with responsibility for providing administrative support to a multinational workforce. Performs various finance functions including Military Interdepartmental Purchase Requests (MIPR). Independently perform secretarial and administrative work which includes the awards program, personnel reporting, onboarding, timekeeping and personnel tracking. Performs organizational and positional studies for Position Management (PM) for uses and MLC positions in the command. Reviews DLA Distribution Yokosuka, Japan organizational units to ensure compliance with Defense Logistics Agency PM standards and policies on resource management. Prepares reports and recommendations for optimum position structure, distribution of functions, and organizational effectiveness. Provides assistance to supervisors and managers in reviewing and studying organization structures and functions
Qualification
To qualify for an Administrative Support Assistant (OA) your resume and supporting documentation must support: A. Specialized Experience: One year of specialized experience that equipped you with the particular knowledge, skills and abilities (KSAs) or competencies to successfully perform the duties of the position, and is directly in or related to this position. To qualify at the GS-7 level, applicants must possess one year of specialized experience equivalent to the GS-6 level or equivalent under other pay systems in the Federal service, military or private sector. Applicants must meet eligibility requirements including time-in-grade (General Schedule (GS) positions only), time-after-competitive appointment, minimum qualifications, and any other regulatory requirements by the cut-off/closing date of the announcement. Creditable specialized experience includes: - Assist travelers with TDY (Temporary Duty training) - Personnel administration, input personnel actions into computer. m - Developing reports, plan of action, recommending improvements. - Monitoring purchase orders, reviewing and validating receipts. - Monitor Government Purchase Cardholder accounts. B. Education Substitution: As a general rule, education is not creditable above the GS-5 level for this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Demands Work is primarily of a sedentary nature. Work requires some physical exertion, such as prolonged periods of walking, standing, bending, reaching, and lifting. Frequently lifts and carries items up to 40 pounds, such as paper and equipment. This level of physical demand occurs when incumbent stocks, retrieves, and distributes items for the organization. May use cart to transport supplies. Work Environment Work is performed in an office type setting where the work area provides adequate light, heat, and ventilation. The work environment involves everyday risks or discomforts that require normal safety precautions. Incumbent will be required to wear safety clothing and equipment appropriate for the assigned work area.
