About the position: This position is located at Outdoor Recreation, Yokota AB, Japan This is Regular Part Time with 20-34 hours per week.

Major duties

Serves as the principal office administrative resource to various activities under the Outdoor Recreation Program (ODR), to include Equipment Rental and Aquatics operations. Gathers and verifies narrative and statistical data. Using prior budgets, prepares preliminary budgets estimates. Using computer, designs and develops publicity/marketing material. Performs wide range of administrative and clerical office automation management support functions. Duties include but are not limited to performing a variety of general office duties such as transmitting and receiving electronic documents and messages; receiving telephone calls and greeting visitors; filing; coordinates and schedules meetings, appointments, calendars, payroll, and required training; records keeping; gathers information from files and documents for use in responding to inquiries Collects and process monthly funding requests from the Outdoor Adventure Program trips, verifying disbursement of funds to trip leaders and consolidates receipts and unused funds for cash accountability controls; drafts a wide variety of recurring and nonrecurring correspondence, reports, and other related documents and personnel actions requests; data entry of resale items into RecTrac and tracking purchases via NAF Purchase Card; and maintains contacts with vendors while ensuring compliance of contracts. Reviews correspondence by proofreading/editing to ensure documents are in proper format (correct grammar, spelling, capitalization, punctuation). Updates all office instructions as requested. Logs, screens and tracks incoming correspondence/e-mail for higher level attention, review or action. As appropriate, routes and/or maintains necessary suspense controls. Consolidates and finalizes information for various reports in accordance with established reporting procedures. Coordinates associated charges between FSS activities. Reviews and delivers daily financial, documenting any corrections necessary due to clerical errors. Controls and accounts for petty cash funds (US dollars/Japanese yen). Serves as the office records manager and performs duties as time keeper, maintaining time and attendance records. Establishes and maintains correspondence; publication files, and office filing system. Supplements front desk duties at ODR and Aquatics. Receives and checks-in/out equipment, retrieves records, and records applicable charges. Assists with end of month inventories and selection of resale and rental items for purchase. Experience must include knowledge of office automation software and equipment; correspondence formats. grammar, and spelling; and which has demonstrated the ability to act independently with minimal supervision. Must have the ability and possess skill in dealing with the public. Must have the ability to communicate effectively both orally and in writing. Must satisfactory complete an installation and a National Agency Checks. Must be able to work an irregular tour of duty.
